These Terms and Conditions ("Terms") apply to all services provided by Vianova IB Education ("Company," "we," "us") to any client ("Client," "you"). By booking or using our services, you accept these Terms in full.

 

1. Definitions

 

1.1. Booking: A paid request by the Client for a specific number of instructional hours.

 

1.2. Tutor: An individual assigned by the Company to provide educational or consulting services.

1.3. Client: Any individual or organization receiving services.

 

1.4. Company: Vianova IB Education, provider of tutoring and academic consulting services.

 

1.5. Session: An individual lesson, consultation, or meeting.

 

2. Contract Formation

 

2.1. These Terms form a binding agreement between the Client and the Company once:

 

Payment has been made, and

 

A Tutor has been assigned.

 

2.2. Clients may not enter into independent agreements with company Tutors for services outside the Company.

 

2.2.1. Should the Client do so, the Company reserves the right to charge a fee of €3000 to the client and tutor for facilitating the initial introduction.

 

3. Tutor Assignment and Qualifications

 

3.1. Tutors are alumni of the International Baccalaureate Diploma Programme and are selected through a formal recruitment and vetting process.

 

3.2. The Company assigns Tutors based on Client needs and Tutor availability.

 

3.3. The Company may replace Tutors if needed.

 

4. Session Scheduling and Communication

 

4.1. All Sessions are conducted online via online platforms. In-person meetings may be arranged at the Company's discretion.

 

4.2. Scheduling is managed between the Tutor and Client.

 

4.2.1. Cancellations made less than 8 hours before a scheduled Session, or failure to attend, will count as a completed Session and are non-refundable.

 

4.2.2. If the Client does not respond to Tutor communication within 5 working days, the Tutor will notify the Company. If response is not received within an additional 7 working days, the Booking may be void without refund.

 

4.2.3. If the Client is unresponsive for two (2) months following a Booking, the hours expire and are no longer redeemable. If the client is responsive, the hours of a package have a two (2) year expiration date, from the booking date.

 

4.3. Sessions are tracked and rounded up to the nearest 15 minutes.

 

4.4. If a Tutor fails to initiate contact, it is the Client’s responsibility to notify the Company. The Company will attempt to re-establish contact. If unsuccessful within 3 working days, a replacement Tutor will be provided immediately for the Client.

 

5. Fees and Payment

 

5.1. Prices are inclusive of VAT and are partially available on the Company website. Other service prices are upon requested and will be communicated directly to the interested Client privately.

 

5.2. Payment must be made in full before services begin.

 

5.3. If no Tutor has been assigned within 7 days of Booking, the contract will be cancelled and the Client refunded in full.

 

5.4. Refunds are not available if the number of hours booked is less than what is required to meet academic goals. Academic goals are never guaranteed by the platform, as too many variables not under the control of the company can affect the achievement of goals. 

 

5.5. Bookings cancelled by the Client within 2 days of payment are fully refundable.

 

5.6. If a Tutor has been assigned or a Session has occurred, partial refunds may be issued for unused hours at the Company’s discretion, provided that:

 

The request is made within 30 days of the original Booking, and

 

Fewer than 50% of the hours have been used.

 

5.7. The Company may cancel services at any time with eventual adequate reasoning and will issue a refund for unused hours.

 

6. Satisfaction Guarantee

 

6.1. Applies only to Bookings of 7 hours or more.

 

6.2. If dissatisfied, the Client must inform the Company within the first 5 hours of Sessions.

 

6.2.1. A new Tutor will be assigned.

 

6.2.2. If the Client remains dissatisfied after a replacement Tutor is provided, a full refund will be issued.

 

6.3. If more than 5 hours have passed without a complaint, the Client will be deemed satisfied.

 

6.4. Dissatisfaction expressed after 5 hours must relate to new issues. If the Company cannot resolve them, a refund will be granted for remaining hours only.

 

7. Scope of Services

 

Vianova IB Education offers:

 

Tailored IB tutoring (SL & HL)

 

College Counseling (including UCAS, Common App, interviews)

 

IA/EE Writing Support

 

TOK Essay & Exhibition Coaching

 

SAT/ACT/TOEFL/IELTS/UCAT Preparation

 

AI & Plagiarism Checking (e.g. via Turnitin)

 

All services are offered online; in-person options are subject to availability.

 

8. Intellectual Property

 

All materials provided remain the intellectual property of Vianova IB Education or the Tutor. Clients may not copy, redistribute, or publish any materials without prior written consent.

 

9. Academic Integrity

 

Vianova does not complete assignments or write essays for Clients. All support is advisory and educational. Our AI/Plagiarism Checker is a diagnostic tool only.

 

10. Data Protection

 

We comply with the General Data Protection Regulation (GDPR). Your data is securely stored and used only for service delivery and communication. You may request deletion, correction, or access at any time.

 

11. Limitation of Liability

 

11.1. The Company is not liable for:

 

Missed academic targets

 

Tutor misconduct or negligence

 

Delay, cancellation, or technical disruption

 

Indirect or consequential damages

 

11.2. Our total liability is limited to the amount paid for the relevant Booking.

 

12. Governing Law

 

These Terms are governed by the laws of Italy. Disputes will be resolved exclusively by Italian courts.

 

13. Force Majeure

 

We are not liable for service disruption due to events beyond our control (e.g., natural disasters, illness, internet outages).

 

14. Amendments

 

We may update these Terms. Updates apply to new and existing Clients from the date of publication.
